Our government client requires a fluently bilingual Executive Assistant for upcoming contracts   Must have valid valid Secret or Enhanced Security Clearance.

 

DUTIES

  • Reporting directly to the Executive Director, the resource will be responsible for monitoring and tracking all incoming action requests and creating a bring forward log to ensure all requests are responded to by the required due dates.
  • The resource will required to monitor email inboxes including e-filing as well as maintaining the Executive Director’s daily calendar including making logistical arrangements for meetings.
  • The resource will be communicating via email as well as orally, using effective communications skills. Communications will be to the direct reports to the Executive Director and four (4) Directors nationally.
  • Organise briefing books and meeting materials.
  • Inputting, processing and updating data.

DUTIES/TASKS

–          Manage, organize and maintain documents/correspondence

–          Plan, organize, schedule and participate in meetings, develop agendas, prepare minutes, and follow-up on action items

–          Prepare domestic travel arrangements, make logistical arrangements for conferences, meetings, training sessions, teleconferences

–          Draft routine correspondence (email, letters, memorandum, etc.)

 

Experience  

–          Minimum of 2 years experience providing administrative support in a government department

–          Minimum of 2 years experience preparing travel arrangements and travel claims in a government department

–          Experience with correspondence tracking systems

–          Experience with MS Word, Microsoft Outlook and Excel

–          Experience in scheduling meetings, in preparing agendas and minutes of meetings for multiple stakeholders

–          Experience in government contracting

–          Experience in organizing conferences and training sessions (experience working with hotels, AV suppliers, interpreters)

–          Experience managing small budgets

 

Knowledge

–          Good knowledge of government administrative policies and practices

–          Good knowledge of government travel policies and directives

–          Good knowledge of government contracting

–          Good knowledge of conference / training planning

Job Description

Duties:

Develops and coordinates the agenda of the Director General, including the organization of meetings, scheduling of meetings and providing responses to invitation to meetings.

Supports the Executive Assistant in preparing travel arrangements, submitting travel requests and travel claims.

Acts as liaison between the Divisions and the Assistant Deputy Minister’s office

Reviews materials for quality control and performs administrative duties such as word processing, organizing and maintaining files and distribution of information.

 

Mandatory criteria:

·         5 years experience as an Executive Assistant with the Federal Government

·         Must be fluently Bilingual (French/English)

·         Valid Secret Security Clearance

·         Experience using Microsoft Suite (Word, Excel, PowerPoint)

·         Recent experience (in the past two years) maintaining the schedule of senior management (Director General level or above)

·         Recent experience in organizing travel arrangements

·         Experience coordinating the activities of senior management (Director General level or above)
