Our government client requires a fluently  bilingual Intermediate Executive Assistant with valid Enhanced Security clearance for position starting ASAP until May 31st 2019.

The successful applicant will clearly demonstrate two to three years experience using MS Office products to create and/or edit documents in Word, /Excel & Powerpoint.

  1. Must clearly demonstrate three (2) years of experience using MS Office products to create and/or edit documents in Word, Excel and PowerPoint.

DUTIES OF THE RESOURCE:

  • Answer telephone
  • Help with Director’s emails and calendar
  • Support for travel claims
  • Support for invoices & contracts
  • Update different lists when required
  • Scan and save documents (GCDocs)
  • Book conference calls for the whole team
  • Distribute and reconcile taxi chits
  • Keep printers area clean
  • Order paper, toner and make service calls for the printers when required
  • Create and update documents
  • Maintain the conference room bookings calendar
  • Organize filing cabinets
  • Pick up the mail and bring documents to the controller’s office daily
  • Support the AS-02, when required

Two references will be required and must be recent within 6 months to one year.

DUTIES/TASKS

–          Manage, organize and maintain documents/correspondence

–          Plan, organize, schedule and participate in meetings, develop agendas, prepare minutes, and follow-up on action items

–          Prepare domestic travel arrangements, make logistical arrangements for conferences, meetings, training sessions, teleconferences

–          Draft routine correspondence (email, letters, memorandum, etc.)

 

Experience  

–          Minimum of 2 years experience providing administrative support in a government department

–          Minimum of 2 years experience preparing travel arrangements and travel claims in a government department

–          Experience with correspondence tracking systems

–          Experience with MS Word, Microsoft Outlook and Excel

–          Experience in scheduling meetings, in preparing agendas and minutes of meetings for multiple stakeholders

–          Experience in government contracting

–          Experience in organizing conferences and training sessions (experience working with hotels, AV suppliers, interpreters)

–          Experience managing small budgets

 

Knowledge

–          Good knowledge of government administrative policies and practices

–          Good knowledge of government travel policies and directives

–          Good knowledge of government contracting

–          Good knowledge of conference / training planning

Our government client requires an experienced Unilingual mailroom clerk with valid enhanced security clearance for a 5 month contract.  References will be required.

Duties:

  • Receiving, processing, sorting and distributing incoming and outgoing mail, faxes, messages and courier packages both manually and electronically
  • Maintaining address databases and producing personalized mailing
  • Addressing and stuffing envelopes
  • Weighing, calculating, affixing proper postage
  • Bundling letters, parcels, registered mail and courier envelopes by postal code or method of mailing or both
  • Operating and maintaining print shop and mailing house equipment
  • Routing mail to the proper delivery stream
  • Sorting mail according to destination
  • Signing or obtaining signatures from recipients for registered or special delivery mail and keeping records
  • Searching directories to find the correct address for redirected mail
  • Collating, stuffing envelopes, adhering labels
  • Completing courier forms and dispatching couriers
  • Photocopying, filing, e-filing and retrieving material
  • Lifting and carrying boxes up to 40lbs.
  • Verifying envelopes and documents for correct names, addresses and descriptions
  • Assisting in the maintenance of stationery and supply records
